Sample Fax Cover Sheet
Most of us know that the first sheet on a fax is called the cover sheet and these days almost anyone can figure out what to put on the cover sheet. However in order to minimize any confusion we’re going to tell you what needs to be on a
sample fax cover sheet and why that information is important and why it absolutely must be there. Call this a lesson in fax-etiquette if you will.
A
sample fax cover sheet is going to need some basic information so that when the fax arrives anyone that sees it will know what it is for and who needs to see the fax. So let’s go over the needed information.
Keep in mind that most of the office suites out there allow you to do this in the program and then save the information as a template so you don’t have to do it every time you fax. The top of the
sample fax cover sheet page is set to usually have such information as the company logo, Physical address and phone number and other important things.
Just below that it should state in large letters that this is a
fax cover sheet. Then the first line usually is set aside to say whom the fax is being sent to and your name as the sender of the fax. The next line on our sample fax cover sheet is for the fax number that you are faxing to, and then the number of pages that are in the fax.
The next line is
the phone number and the date of the fax. The next line is reserved to tell briefly what the fax is about and then a CC part in case anyone else is to see it in the company that you are sending it to.
Below that information on the sample fax cover sheet you can usually find either some check boxes or a line where people can indicate whether the fax is Urgent, For Review, Please Comment, Please Reply, Please Recycle. Then there is a place at the bottom, usually at least half of the page, where you can place comments.
If you truly want people to view your fax then the sample fax cover sheet needs to contain everything to
make life easier for them. With all the listed information they can know where to send it and what to do with it.
If you also take a few moments and make a nice paragraph or two for the comments area that brings the contents down to a brief, more often than not the receiver will be thankful for that break and will respond. You see the comments portion is an overview that most people neglect to do and yet for a busty executive, this may be more important than
the pages that follow because at a glance he can tell if it requires immediate attention or if he can shuffle it off to later when he can address It properly.
