Fax Coversheet

To me, the Fax Coversheet is the single most important page in a fax. I don’t care if that fax is 100 pages long and full of details that I need. The first page of that fax will determine what I do with it and how I proceed so it is the most important.

I know that might seem like a stretch to most people but look at it as I do. When I get a fax from someone I pick up the Fax Coversheet and I read it slowly from top to bottom. This tells me everything I need to know. I can tell when it was sent so I know if I need to act on it now.

I can see who actually sent it to me so if it is a junk-fax it can go immediately to the trash bin. I can see whom in my company it is addressed to so I can get it to the correct party. I can see if they think it is urgent or just something that I can allocate to later in the day when I have time. And lastly as I read the short body of the Fax Coversheet I know exactly what it pertains to. Even if it is 100 sheets long I know is a couple paragraphs what it is about. I don’t need to skim the whole thing to find that information out.

When I read over the Fax Coversheet of the incoming faxes I make piles for Urgent things, Sometime today things and lastly when I have the time. IF the person sending me that fax doesn’t have the consideration for me to include all the information on the sheet or even worse, no sheet at all. There is a good chance that the fax will either end up in either the trash or the When I have the time pile.

No, I am not the most important or busiest person in the world but I use a Fax Coversheet to the people I deal with in this manner because I know that the more amount of time I have to spend trying to figure out what something is and how to deal with it the less time I will have for doing what I am at work to do which is to make money.

A good Fax Coversheet doesn’t take anyone very long to do and in fact most computer programs have the page done as pre-defined so you can just fill in the relevant information and print it out. It takes you an extra minute of time to do but will save the person on the other end a lot of time and will earn you his or her respect and that will prove to be a plus for you down the road, I guarantee it.
